Intermediate Business Analyst

On behalf of our client in the Banking Sector, PROCOM is looking for an Intermediate Business Analyst.

Intermediate Business Analyst – Job Description

  • Support the ongoing management of the Vendor online learning platform (i.e., Skillsoft or equivalent)
  • Support the day-to-day administration of the vendor hosted platform
  • Work with vendors to gather information required for curating courses to be posted on Skillsoft channel or Workday Learning as required
  • Analyze data and provide Vendor reports related to all learner activity as required
  • Identify cost savings opportunities from the Vendor and internal activities
  • Support Advisory Services, Vendor (Skillsoft) Catalogue by:
  • Recommending new and existing courses, learning assets channels available from the Vendor as required
  • Conducting risk assessments prior to launch of a new release from the Vendor
  • Working directly with the Vendor to answer questions or provide clarifications required for learners
  • Ensure Talent Development registration and payment processes and contractual arrangements with the Vendor is adhered to and proactively follow up as required
  • Investigate Vendor issues and remediate as they arise
  • Set-up recurring business review meetings with the Vendor and internal stakeholders to address upcoming releases, changes, or any issues
  • Support the Talent Development Content Design team in the contract set up and management of software licenses
  • Ensure software licenses purchased through vendor(s) adhere to Procurement Policy
  • Ensure the software licenses list is accurate, up to date and includes all info on terms and conditions, fees, owners, contract term dates
  • Communicate upcoming contract expiry dates to the Talent Development Content Design team
  • Support any transition initiatives to off board software
  • Assist with conducting technology triages (e.g.: Cloud, Info Sec), risk assessments and submitting TAG requests for new or existing software as required
  • Support Talent Development in providing effective external contract management/ Build strong relationships with key stakeholders to support business activities and initiatives
  • Cultivate a trusted relationship with partners, and other stakeholders and consistently and professionally demonstrate high touch and quick response times in both verbal and written communications
  • Utilize the HR network to develop cross-functional relationships and leverage those relationships to advance business interactions, processes, and operations
  • Support the Senior Manager, Vendor Management in the day-to-day execution of the solution sourcing process by:
  • Utilizing the Coupa system and other means to manage documentation and communication with learning suppliers and stakeholders, as requested
  • Ensuring contracts contain all required information
  • Obtaining required signature
  • Arranging for security checks
  • Maintaining contract tracking
  • Handling maintenance and quarterly contract validation
  • Filing per bank policies
  • Monitoring team mailbox and responding to inquiries within timelines
  • Build a professional network with partners and stakeholders to support business development and form mutually supportive relationships
  • Partner with Corporate Services Contract Support Group to assist the contracting process by:
  • Monitoring timelines and communications
  • Providing relevant information to inform negotiations with learning providers
  • Partner with internal business client, Talent Development, and suppliers to understand training vendor needs, and support the sourcing of appropriate training solutions
  • Support the Senior Manager, Vendor Management in the development of documentation related to Request for Proposals (RFPs) or Request for Information (RFI) and in market research activities for assessing Learning & Development trends and new vendors
  • Populate and maintain the vendor contract database with new vendor information and contracts, pricing, process documents, etc.
  • Support the Talent Acquisition & Development deliverables and projects as assigned
  • Offer analytical expertise to support advancement of Vendor activities
  • Develop, produce, and assist in the timely delivery of standard reports and communications, highlighting program and project activities (includes communication updates to Senior Leadership, evaluation analysis and reporting, status updates, statistics, etc.)
  • Deliver creative and independent support on ad hoc initiatives that improve the effectiveness and/or efficiency of Vendor Management Team process
  • Recommend solutions and improvements to existing procedures/ processes/ services/ programs being analyzed and develop options regarding any proposed changes
  • Work closely with the Talent Development Advisory team to facilitate the dissemination of information and ensure continuous development of efficient processes
  • Maintain a shared drive folder, set up to ensure files and folders are easily accessible and up to date
  • Partner with Corporate Services to support the vendor contract process, and help ensure the efficient and timely execution of external learning & development solution contracts
  • Prepare/ support intake documents for Master Services Agreement (MSA) and contract requests, as required
  • Liaise with internal partners to ensure timely and accurate information is gathered/ disseminated to all functional areas involved in delivering the solution
  • Partner with Corporate Services to support negotiations process for all MSA and contract negotiations
  • Review contracts/ amendments/ MSAs created by Corporate Services to ensure the accuracy and precision of the information regarding services to be provided

Intermediate Business Analyst – Mandatory Skills

  • 3-4 years of experience in relationship management and/or vendor management
  • Understanding of the practices, procedures, and principles of project management, sufficient to apply specific concepts (e.g., creation of project plans to ensure deadlines and milestones are met) and perform semi-routine analysis in closely related subjects or functional areas
  • Strong interpersonal and communication (both verbal and written) skills to be able to interact with people at all levels in a variety of situations which usually requires tact, diplomacy, and discretion
  • Capable of operating independently with minimal direction while keeping team informed of potential problems and/or sensitive issues
  • Developed judgement and problem-solving skills to interpret and/or analyze factual and conceptual information and generate solutions to problems and decide on course of action, and determine when to escalate where necessary
  • Ability to manage multiple initiatives with varying complexity in a sophisticated matrix environment while under time constraints and meting tight deadlines
  • Strong time management and organizational skills
  • Excellent analytical, organization and research skills
  • Excellent technical skills in Outlook, Word, PowerPoint, Excel, Visio, and SharePoint

Intermediate Business Analyst – Nice to Have Skills

  • Previous experience in contract management
  • Knowledge of and/or experience using a learning management system would be an asset
  • Experience with Solution Sourcing would be a key asset for this role but is not required
  • Experience in a significant learning and development department is preferred
  • Previous experience using Coupa
  • Previous experience working in a financial institution
